A quick reference for the terminology used across Sailia. Terms are grouped by area to make it easier to find what you need.
Activities and scheduling
| Term | Definition |
|---|
| Activity | A bookable item — either a course, hire, or event. Each has its own schedule, pricing, and capacity. |
| Course | A scheduled activity with defined sessions, such as a surf lesson or yoga class. |
| Hire | An equipment rental with a time slot, such as kayak hire or bike rental. |
| Event | A one-off or recurring occasion, such as an open day or guided tour. |
| Session | A single time slot within an activity that customers can book. |
| Capacity | The maximum number of attendees allowed for a session. Shared in real time between online and POS bookings. |
| Waitlist | A queue customers can join when a session is fully booked. They are notified automatically when a spot opens. See Waitlists. |
| Add-on | An optional extra customers can add to a booking, such as equipment rental or a meal. |
| Booking cutoff | The deadline before a session starts (or ends) after which customers can no longer book online. Configured via the minimum notice period on each activity. |
Bookings
| Term | Definition |

| Booking | A customer’s confirmed reservation for an activity session, tracked with payment status and attendee details. |
| Group booking | A booking where one customer (the organizer) books on behalf of multiple participants. See Group bookings. |
| Walk-in | A booking created at the point of sale for a customer who arrives without a prior reservation. |
| Booking wizard | The guided checkout flow on the booking page that walks customers through session selection, attendee details, and payment. |
| Basket | The collection of items (activities, products, gift cards) a customer has selected before completing checkout. |
Customers
| Term | Definition |

| Customer | A person who books activities or purchases products. Sailia creates a record automatically on first purchase. See Customer management. |
| Customer account | A self-service account customers create on your booking page to manage bookings, memberships, and family members. See Customer accounts. |
| Family account | A feature that lets customers group family members under one login. Each member has their own booking history, waivers, and memberships. See Family accounts. |
| Guest checkout | Completing a purchase without creating an account. Guests receive confirmation by email but cannot manage bookings online. |
| Waiver | A document customers complete before attending an activity, typically including acknowledgements, signature fields, and file uploads. See Waivers. |
| Term | Definition |

| Membership | A recurring subscription with automatic billing through Stripe. Members receive benefits like discounts on activities. See Memberships. |
| Activity pass | A prepaid bundle of sessions that customers redeem against future bookings. See Activity passes. |
| Discount code | A code customers enter at checkout for a fixed, percentage, or tiered discount. See Discount codes. |
| Gift card | A stored-value card customers purchase and redeem at checkout. Also created when you issue a refund as store credit. See Gift cards. |
| Store credit | A gift card issued as a refund alternative. The balance is available immediately for future purchases. |
| Surge pricing | A discount code feature that increases prices during high-demand periods. Configured under Discount codes. |
| Early-bird pricing | A discount code feature that offers lower prices for bookings made well in advance. |
Payments
| Term | Definition |

| Stripe | The payment processor Sailia uses for all card transactions, payouts, and refunds. See Payments and Stripe. |
| Payout | A transfer from Stripe to your bank account, typically on a daily or weekly schedule. |
| Instalment plan | A payment option that splits a booking’s total into scheduled payments collected automatically by Stripe. See Instalment plans. |
| MOTO payment | A mail order/telephone order card payment processed without the cardholder present. See MOTO payments. |
| Stripe Link | A Stripe-powered express checkout that auto-fills saved payment details for faster checkout. |
| Accounting category | A label applied to products and activities that maps to a VAT rate, Xero account code, and item code. See Taxes and VAT. |
Point of sale
| Term | Definition |

| POS | The point of sale — Sailia’s in-person checkout for walk-in bookings, product sales, and card reader payments. See Point of sale. |
| POS terminal | A configured checkout interface assigned to a location. Multiple terminals can operate at the same site. |
| Till shift | A session during which a POS terminal is open for transactions. Opening a shift enables cash payments and tracks the cash float. |
| Card reader | A Stripe Terminal device connected to the POS for in-person card payments. See Card readers. |
| Shop product | A physical or digital item sold through the online shop or POS. See Shop products. |
| Custom pricing | A POS feature that lets operators override the listed price of a product at checkout. See Custom pricing. |
Staff
| Term | Definition |

| Staff member | A person on your team with a Sailia profile, assigned to activities, and optionally configured for timesheets and pay rates. See Staff management. |
| Permission group | A set of access controls (schedule, finances, POS, communications, staff management) assigned to staff. See Permissions reference. |
| Auto daily timesheet | A feature that automatically generates timesheet entries from scheduled bookings, including setup and pack-down time. See Auto daily timesheets. |
| Timesheet invoice | An invoice submitted by staff based on their timesheet entries, reviewed and approved by an admin. See Timesheet invoices. |
| Pay rate amendment | A per-booking override to a staff member’s default pay rate. |
Integrations
| Term | Definition |

| Workflow | An automated action (email or SMS) triggered by a specific event in Sailia. Over 30 triggers are available. See Automated workflows. |
| Workflow trigger | The event that starts a workflow, such as “booking confirmed” or “membership renewed”. See Workflow triggers reference. |
| Merge field | A placeholder in a workflow email template that is replaced with dynamic data at send time (such as the customer’s name or booking date). |
| Xero sync | An integration that pushes each Stripe payout to Xero as a categorized invoice. See Xero accounting sync. |
| Adventuro | An online travel agency marketplace where you can list your activities and receive bookings. See Adventuro integration. |
| Booking tracking | Analytics events fired during the booking flow, captured by Google Tag Manager or PostHog. See Booking tracking events. |
General
| Term | Definition |

| Booking page | Your auto-generated public website where customers browse, book, and pay. See Your booking page. |
| Location | A physical site you operate from. Used to organize activities, POS terminals, card readers, and timesheets. See Locations. |
| Dashboard | The admin interface where you manage all aspects of your Sailia account. |
| Financial dashboard | The section of the dashboard showing payment data, payouts, exports, and email usage meters. See Financial reporting. |
